Privacy policy

Koninklijke Vlaamse Schouwburg (hereinafter: “KVS”) processes the personal data of customers, web visitors and contact persons.

KVS is the legal entity responsible for the processing of your personal data. Under the General Data Protection Regulation (the “GDPR”), KVS is defined as the Controller.

KVS wishes to inform you transparently about how we process the personal data that you provide to us. Whenever you provide personal data, KVS will handle it in accordance with the obligations laid down by the GDPR, other applicable laws and regulations with regard to the processing of personal data, and that which is determined in this privacy policy.

This privacy policy explains which data KVS processes when, why and in what way.

1. When do we process your (personal) data?

Your personal data is collected through different channels:

  • When you visit our website
  • When you subscribe to our newsletter
  • When you purchase tickets online
  • When you get in touch with our customer service department

2. What personal data does KVS process?

When you wish to make use of our services, we ask you for a number of personal details:

  • Surname
  • First name
  • Address
  • Date of birth
  • Email address
  • Telephone number
  • Place of residence
  • Preferred language
  • Bank details

We also save contact history, for example when you ask the KVS customer service department a question. If you use our customer service department, then we may save the contents of the correspondence in order to be able to better serve you in future, and to improve our own information provision.

We also collect data about the use of our website, such as the time that you visit us and the subject matter that you view. The response to our emails (open and clicks) is also recorded, but not at an individual level.

3. Why do we process your (personal) data?

The data collected by us is processed for the following purposes:

  • To be able to provide you with the requested service or information
  • For customer administration
  • For detecting fraud and other legal infringements
  • To improve the quality of our services
  • To enable us to contact you (by telephone) when the programme is altered or cancelled
  • To keep you informed of specific performances that may interest you
  • To be able to offer you the appropriate discount.

KVS uses cookies on its websites. We do this in order to analyse our website and ensure that it functions optimally, in order to improve our service, for social media and for displaying relevant advertisements on other websites.

4. Storage period

KVS stores your (personal) data for a maximum of 5 years after your last purchase or your last contact with KVS.

5. Security

KVS has implemented appropriate technical and organisational measures, and visibly and invisibly monitors and protects all its services against misuse and fraud.

6. Collaboration with third parties

KVS collaborates with various third parties so that our audience can attend events. These third parties range from authorised ticket-sellers who sell the tickets on our behalf, to the artists that we promote. For booking tickets, we work with our ticket partner Ticketmatic.

Certain personal details may be passed on to partners, for example in order to guarantee ticket control for co-productions, in order to comply with legislation, or at the request of a government agency.

Insofar as these third parties process (personal) data when implementing the relevant services, they are acting as processors. KVS has entered into a processors’ agreement with these processors. Naturally, the relevant processor only receives the necessary data and is (contractually) obliged to operate an appropriate level of security and to handle personal data with care. Moreover, personal data is not stored by our processors any longer than necessary.

Provision only applicable when purchasing a Troika Pass:

To be able to grant you the Troika Pass discount, we share your name, email adress and preferred language with the Théâtre National and La Monnaie/De Munt. Your data will only be used for the Troika Pass and will not be distributed further. These data will be stored by our partners for as long as your Troika Pass is valid and will be deleted immediately after it has expired.

7. Your rights

Under the GDPR, everyone has a number of rights. You may ask KVS for access to the personal data about you that we process. We will also state how and why we process this data. If you believe that KVS is processing incorrect or incomplete data, then we will modify it at your request. You may also request that we delete it. It may be the case that KVS is still obliged to process the data for other purposes (administrative, fiscal retention obligation). If you suspect that we are processing your personal data unlawfully or inaccurately, then you can also have the processing restricted. You may also object to the processing of your personal data for marketing purposes or other purposes. The right to data portability is new under the GDPR. You may ask KVS to transfer your personal data or to have it transferred.

We are not a commercial institution that wants to send you spam in the form of unnecessary emails and offers. Every newsletter that we send you has a link at the bottom through which you can unsubscribe. If you no longer wish to receive physical post from us, you may always let us know. Please note that it may take around 10 days to process your request.

If you wish to exercise your rights as regards the processing of your (personal) data by KVS, then you may submit a request to KVS to that effect using the address below. Your request will then be processed free of charge by KVS. Where KVS is unable to fully comply with your request, it will inform you of the reasons for this.

8. Questions and/or complaints? Do you wish to modify or update your data?

Do you have questions and/or complaints about our privacy policy or about your privacy, or would you like to receive a copy of the data about you that we hold? Would you like to update the data that you provided to us? Would you like to revoke an authorisation?

If you believe that KVS is acting in contravention of the GDPR or other applicable laws and regulations with regard to the processing of your (personal) data, then you may lodge a complaint with the Data Protection Authority (www.privacycommission.be).
